Terms and Conditions

Thank you for your interest in our Garden Explorers’ Holiday Club. Please forgive the length of this document. Helping your child enjoy our club is important and this information sets out our responsibilities, but also yours. Completing a booking indicates that you have read and agreed to our terms and conditions.

Illness and first aid

You will be sent a form to complete requesting details of any pre-existing medical, physical, or behavioural conditions, or medication requirements, so that we can make provision for your child’s specific needs. In order to meet the needs of all our participants, we require parents/guardians to be transparent and clear regarding any additional support a child may require. This is especially vital when a child commands a higher level of support than we may offer in our usual ratios, and where their behaviour has diminishing effects on the group as a whole and possible the welfare of other children.

If a child is deemed too ill by SHHG staff, we reserve the right to refuse attendance until the child has been symptom free for at least 24 hours. If a child requires medication, our staff can only administer medication if it is specifically prescribed for that child, by a health professional. Please note all prescribed medication must be in date.

Appropriate First Aid will be administered to children in the event of an accident while under SHHG’s care. If the accident is more serious, we may need to call the emergency services and will immediately inform parents. Staff are trained in procedures for accidents and injuries.


This is an outdoor holiday club so your child/ren will need to be prepared for all weathers! If the weather is sufficiently bad to close the Gardens on a particular day, we will cancel the club and refund you the cost of that day.

Additional Charges

Staff are only available from 9am until 3pm to care for your child/ren. If you are over 15 minutes late to collect your child at the end of the day, we will have to charge you £30 per ½ hour, or portion thereof.

You will also need to fill in a which will be sent to you by email. This is an essential form that will need to be completed before your child/ren join our holiday club at SHHG. Even if you have paid for a place on our online shop or over the phone, your child/ren will not be able to participate in the club if this form has not been returned.

Please note that if we feel that we cannot cater for your child safely at the holiday club, we will return any payment you may have made.

Behaviour management at our Garden Explorer holiday club

We start the day with a fun positive welcome that includes our three golden rules. This is a great way of welcoming children and establishing boundaries.

  • Be Enthusiastic – having fun while working together is important!
  • Stay together – it’s a big site!
  • Think first – for safety and kindness!

Our staff will always practice positive behaviour management and reinforce good behaviour. We will always ask parents to be transparent and clear with us about their child’s behaviour needs, to ensure our staff are equipped to manage their behaviour. Should a child display unacceptable behaviour constantly, we will ask for the child to take a break from the holiday club. This is the last resort and will we try to avoid such circumstances from happening.

We aim to make sensible alterations to deliver an inspiring and inclusive atmosphere for most children, regardless of their particular needs. To discuss your needs please contact

Data is used solely for the children’s care and is stored safely and confidentially with limited access.

Additional support/needs: Additional Needs Children are accepted by our holiday club and additional support is considered on an individual basis. Our management team will determine the suitability of our programme and make amendments where practical to guarantee the correct level of support. Please note we cannot provide for children requiring personal care, including toileting.

A high level of additional needs: Children who require 1:1 care at home/school must be accompanied by a regular carer.

We are unable to offer 1:1 support for your child because of the cost of this type of care. We welcome the attendance of a trained adult support worker when a child’s family or carer source this. Supporting adults must be on the DBS update service.

Supporting adults are not responsible for any other children and they will not be left alone with any other children.

When essential to protect the welfare of children, we reserve the right to contact parents and guardians at any point to collect their child.

We reserve the right to cancel a booking or prevent a child attending our holiday club if we believe that inadequate or incorrect information has been submitted by a parent/guardian at the point of booking.

Child safeguarding policy

We are committed to safeguarding/promoting the welfare of children. Safer recruitment is fundamental to the way we work, and all staff are committed to safeguarding, continuously creating an atmosphere where children are safe.

We recognise that all children have the right to grow in an atmosphere that is not abusive. We are aware that child abuse occurs to children of both sexes, at all ages and in all societies, religions, social classes and to children with and without disabilities.

We have an obligation to report suspected child abuse. Our procedures will be followed sensitively but unequivocally. Our loyalty in such situations always resides with the children.

Please be aware that all staff at SHHG have a legal duty to respond if we suspect a child may be suffering a form of abuse, or if a child discloses information to us. Staff are trained to spot signs of abuse and in the procedures to take in the case of a disclosure.

Child exclusion

We reserve the right to exclude any child for any reason, including but not limited to inappropriate parent or child behaviour, illness, bullying and repeated late collection. We require a reasonable level of spoken English to ensure children can understand safety and activity instructions - we reserve the right to exclude a child if their English comprehension is such that it may affect the safety of the child or other children at the holiday club. Refunds will not be offered for remaining days when a child is excluded. No refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result.

Complaints procedure

Equal Opportunities Declaration

The activities we run strive to provide equal opportunities for all children whatever their race, religion, gender, language, culture, health, personality, disability, or lifestyle.

Education and understanding of other people’s backgrounds will be nurtured to promote positive behaviour and approaches. Discriminating behaviour, outlooks and remarks will be challenged, regardless of whether they are from parents or carers or staff, and we will examine and act rapidly if there is any suspicion of discrimination towards any person at our club.

Mobile Phone Policy

As part of our aim to support learning outside, we ask that children not carry mobile phones. We hope and expect parents to help us enforce this. We will not be held responsible for the theft or damage to any electronic devices or mobile phones.


A booking is only confirmed once we’ve received full payment and our parental questionnaire. Please complete one form for each child.

Full payment constitutes acceptance of these booking terms and conditions. Please check the booking confirmation email carefully to ensure the dates and details are correct and as expected - please inform us as soon as possible with any discrepancies and at least 14 days before the start date.


You can cancel a booking up to 14 days before the first date of the holiday club and receive a full refund minus a £30 administrative fee. No refunds will be made if the cancellation is less than 14 days before the first date of the booking. If we cancel the club for any reason, you will be refunded the number of days left. We are not liable for any other costs incurred.

Insurance and liability

All children under SHHG care are covered by Public Liability Insurance up to £5 million.

Children will need to bring:

  • their own lunches (NUT FREE)
  • sun protection (please apply any sun cream before children arrive – we regret we will be unable to assist your child in reapplying any sun cream)
  • wet weather gear – wellington boots and waterproofs and, perhaps, a change of clothes
  • any medication needed – please note our staff will not be responsible for administering any medication but can give support. We do have first aid trained staff on site.

We anticipate that the same members of Sir Harold Hillier Gardens (SHHG) staff will be with your child/ren all week. They have all worked regularly on our site with children. Additional family members will not normally be able to stay with the children.
